Charter Bus Rental for Business Groups, Teams and Delegations
Thirty people and one start time is a logistics problem until it becomes one vehicle.
Chartering a coach reserves the whole vehicle and one uniformed chauffeur against a schedule your organizer keeps a copy of. Send the headcount, the date and where the group has to be, and the reply names the coach and one written figure for it.

What a charter is
What a charter bus rental includes
A charter puts the coach at your group’s disposal for the hours on the reservation. Nobody else boards it, the route is the list of addresses the office supplied, and the schedule is issued in writing before the date.
Two coaches, and both capacities are printed
A limousine coach carries groups of 25 to 30 in a leather cabin. A shuttle coach carries 22 to 35 in forward facing rows, over a separate luggage bay. Those are the figures on the fleet pages, and a coordinator confirms which of the two is free on your date before anything is committed.
The chauffeur stays with the group all day
One uniformed chauffeur works the whole movement, so a tour that overruns does not lose its vehicle at two in the afternoon. Sample cases, coats and printed packs stay aboard between stops instead of being carried in and out of a visitor lot.
The organizer is handed the schedule
Boarding time, the order of the stops and the hour the coach is released go onto one sheet. Forward it to whoever is traveling and the questions stop, because the answer is already in their inbox.
Coach capacities on this page are the ones printed on the fleet pages and taken from nowhere else. Ask a reservation coordinator about invoicing and receipts for your company. How a coach figure is put together is walked through on the charter bus cost guide.
How a charter goes
From a headcount to a coach at the boarding point
Two halves: the paperwork an office does once, and the movement everybody else turns up for.
The office
Booking the coach
- Send the headcount, the date and the stopsThirty traveling, one boarding point or three, and the hour the group has to be somewhere. That is enough to size the coach.
- A coordinator names the coach and one figureThe reply says which of the two coaches your headcount takes, what the charter covers, and the minimum number of hours.
- The schedule is issued in writingBoarding time, stop order and the release hour on a single sheet, so the office forwards it rather than retyping it into an email.
- Changes are edited, not rebookedA tour slot that shifts or eight more people added on the Thursday goes onto the existing reservation, at whatever hour you ring.
The day
The movement itself
- The coach is standing before the boarding hourLoading thirty people takes longer than loading three, and the schedule is built around that rather than around an optimistic map.
- One chauffeur across the whole movementThe same person drives out, holds through the visit and drives back, so nobody briefs a stranger at four in the afternoon.
- Stops happen in the order you wrote themA site visit, then lunch, then the campus. The coach holds position between them instead of leaving after the first drop off.
- The return leg is on the same reservationThe run back to the hotel or the office is quoted alongside the outbound.

Who charters a coach
Business groups fill most of the coach calendar. Campuses and public offices fill the next part of it, and the outings, congregations and club trips fill what is left.

Why be driven
What a charter bus costs, and how the figure is built
No coach rate is published here. A coach is quoted by the hour, with the minimum number of hours stated up front, and four things set the figure. A coordinator names all four in the same written reply.
The hours the coach is committed
A day the group directs and a fixed movement out and back are quoted the same way: on the hours the coach is committed to, with the minimum in the written quote.
The coach your headcount requires
A limousine coach, a shuttle coach and a 14 seat Sprinter van do not cost the same to operate, so the size the group needs is settled before anything else in the figure is.
The date, and what else falls on it
A region holds a finite number of coaches. Contested weekends and the weeks around a holiday are a supply question first and a pricing question second.
Overnight and multi-day charters
A charter that stays out overnight carries the chauffeur’s lodging as a line item, because federal rules require a passenger carrying driver to take consecutive hours off duty. Ask to see that line before you compare two quotes.
We prefer 72 hours’ notice, but call anytime. Short-notice trips depend on availability.
The fleet
Which coach a group of this size takes
Headcount picks the vehicle, and the rest picks itself afterwards, because a limousine coach and a shuttle coach are built around two different sorts of day.
Limousine Coach
A limousine coach for groups of 25 to 30, in one leather cabin, so a delegation arrives as a single party rather than in pieces.

Shuttle Coach
Twenty-two to thirty-five forward facing seats over a separate luggage bay, with a center aisle. The layout a plant tour or a campus visit asks for.

Sprinter Van
Fourteen seats and an aisle tall enough to stand in. The honest answer whenever a headcount comes back under twenty and a coach would run half empty.

Groups of 8 to 10
Under fourteen the booking usually moves to the stretch limousine, a classic stretched sedan with leather seating for 8 to 10.

Cities where companies charter a coach
Coach work runs across Central Illinois and out of it in every direction. The line under each city names the kind of address a group boards at or is expected by.
Each city page writes out its own pickup points, and the whole roster sits on the service area hub.
Springfield dates are booked the same way and are covered on the home page. A charter that runs past the region is quoted as long distance car service.
Give a coordinator a boarding point in any of them and the coach is quoted the same way.

What riders say
What group organizers say
Executive Transportation saved the day after another bus company fell through last minute. Executive Transportation was incredibly responsive and was able to secure us a bus quickly. Our driver Andrew arrived on time and got us safely to and from our event.
Executive Transportation was easy to work with and very reliable. Our group of 7 needed a ride from Chicago O’Hare to Springfield.
The scheduling process was seamless, and the timely pickup from Bloomington airport made my journey stress-free.
A conference that needs the same coach circling all day is shuttle services rather than a single charter, and the two are often written onto one reservation.
Smaller parties travel as executive chauffeur work, and every business service sits together on the corporate transportation hub.
Charter questions
What organizers ask before chartering a coach
Written for whoever owns the headcount. Boarding points live on the city pages.
How much does a charter bus cost?
Executive Transportation quotes a charter by the hour, with the minimum stated up front, instead of publishing a rate. The figure is built from the hours the coach is committed to, the size of coach the headcount requires, and the date. A charter that stays out overnight also carries the chauffeur’s lodging as a line item.
How many people fit on a charter bus?
A shuttle coach seats 22 to 35 in forward facing rows over a separate luggage bay. A limousine coach seats 25 to 30 in one leather cabin. Under twenty-two a 14 seat Sprinter van is usually the better vehicle, and past thirty-five the booking becomes two coaches on one reservation.
Compare the shuttle coach and the limousine coach.
How far ahead should a company book a charter bus?
About a week for one coach, and longer when several vehicles or a contested weekend are involved, because a region holds a finite number of them. The desk is staffed overnight, so a short notice charter is never refused on principle. It comes down to what is still uncommitted on the date.
Ask what is open at (217) 523-5466.
Can one charter cover a plant tour with several stops?
Yes. A tour day is written as one charter with the stops in the order the office supplied, and the coach holds position between them rather than being released after the first drop off. Cases and printed packs stay aboard, which is the practical reason a group charters instead of car pooling.
See hourly chauffeur service for how held hours work.
Is the coach shared with any other group?
No. A charter reserves the whole coach and one uniformed chauffeur, so nobody else boards and the route is the list of addresses the office gave. A repeating loop between fixed points is a different booking, and that one is written up on the shuttle services page.
See shuttle services.
Do you charter coaches for church groups and school groups?
Yes. Business groups take most of the calendar, and congregations, school trips and club travel book the same two coaches on the same terms. An adult organizer confirms the headcount and the schedule, and a uniformed chauffeur stays with the group for the whole day rather than dropping and leaving.
Call (217) 523-5466 with the date and the headcount.
Which coach suits a visiting delegation of thirty?
Either one, and the luggage usually decides it. A shuttle coach seats 22 to 35 with a luggage bay underneath, which suits a group arriving with cases. A limousine coach seats 25 to 30 in one leather cabin, which suits a delegation traveling from a hotel with nothing to stow.
Send the headcount and a coordinator will pick.

Three things organizers mention after the first coach has run.
Everybody arrives in the same minute
One coach is one arrival and one headcount, instead of nine cars filtering into a visitor lot across twenty minutes.
The schedule is a document, not a group message
Boarding hour, stop order and the release time go out in writing, so the organizer forwards a sheet rather than answering the same question nine times.
One figure for the whole vehicle
The charter is quoted once, for the coach, so thirty travelers land on an expense report as a single line.
