Corporate Airport Transfers: Chauffeured Airport Car Service for Business Travelers
Book it once at a desk. The traveler reads a confirmation, not your calendar.
Hand over the flights and the addresses and a written figure comes back for every leg. Each traveler then gets a confirmation of their own, naming the vehicle, the chauffeur and where to walk out to.

What is included
What corporate airport transfers include
Booking an airport run for somebody else starts from a flight list rather than a memory of where the car is. What follows is the part a travel desk hands over, and the part that comes back.
One flight, one vehicle, one confirmation each
Give us the airline, the flight number and the scheduled time, with the address at the other end. Two replies follow: yours holds the list, and the traveler’s holds only their own car, chauffeur and pickup point.
A run that repeats is set up once
A Monday departure and a Thursday return, or the same three people every month, go on as a standing pattern rather than being typed out again. Tell dispatch when it changes.
If the flight moves, call the desk
Send the flight number at booking and call dispatch when the time slips. Somebody answers overnight, and the chauffeur is redirected while the traveler is still inside the building.
Every leg is quoted in writing beforehand and receipted afterwards, one line per trip. Ask a reservation coordinator about invoicing and receipts for your company. The rider’s own version of this subject is airport transportation.
How a transfer goes
From the flight list to baggage claim
Half of this happens at your desk. The other half happens on an airport road.
The office
Booking travelers
- Send the list, not a form for each personAirline, flight number, scheduled time and the address at the other end. A pasted itinerary or a spreadsheet column is enough.
- A figure comes back for every legEach leg is quoted by the hour on its own, so an outbound and a return read as two lines rather than one bundle to unpick later.
- Confirmations go out one per travelerYours lists everybody on the sheet. Theirs lists nobody else, which is the copy worth forwarding.
- A repeat is copied rather than retypedGive dispatch the pattern and the dates it covers. Editing one week leaves the others alone.
The airport
Arrivals and departures
- A departure is built backwards from check-inThe pickup hour comes off the check-in window that airport publishes, not the takeoff time.
- Arrivals are met inside at baggage claimThe chauffeur is waiting at baggage claim with the traveler’s name, takes the luggage and walks them out to the vehicle.
- A change of hour reaches dispatch by phoneCall the desk with the new time. The chauffeur is moved rather than sent home.
- The way back rides on the same reservationThe return leg is quoted with the outbound even when the two sit eight days apart.
Who books this
Who books corporate airport transfers
Three desks ring about the same run: the one that owns the travel, the one expecting somebody off an aircraft, and the traveler who booked their own ticket.

Corporate airport transfers for private jet and charter arrivals
A good part of this work never reaches an airline terminal. The aircraft parks at a fixed base operator, and that building is where the chauffeur stands.
- 01
Booked against the operator, not a flight number
General aviation keeps its own road, gate and lobby. Send the operator, the tail number and the scheduled arrival.
- 02
Cases move at the steps where the ramp allows it
Several of these operators will let a vehicle out to the aircraft, which saves a party with hard cases a walk they did not need.
- 03
Crew and party on one reservation
The flight crew wants a hotel and the party wants an office, usually at the same minute. Both ride on one booking.
- 04
A Sprinter absorbs a full aircraft
Fourteen seats and a stand-up aisle cover most charter parties, and a coach covers the rest.

Send the tail number and the operator; the confirmation names a building. We prefer 72 hours’ notice, but call anytime. Short-notice trips depend on availability.

Why be driven
How a corporate airport transfer is quoted
No airport rate is published here. Each leg is quoted by the hour for the whole vehicle, with the minimum stated up front, and a written figure comes back.
One figure for each leg
A transfer out and a transfer back are two lines, quoted separately, so a trip splits across codes cleanly.
The figure buys the vehicle
Four colleagues on one flight share a single number rather than filing four.
What sets the hours
The drive and the class of vehicle first, then the hour of the day, then any address added late.
Receipts, one per trip
A written quote before the run and a receipt after it, which is what an expense line needs.
We prefer 72 hours’ notice, but call anytime. Short-notice trips depend on availability.
The fleet
Which vehicle meets the flight
The decision is headcount and luggage. Every class turns up with a uniformed chauffeur and an empty trunk.
Executive Sedan
One or two travelers with a case each, and quiet enough to take the first call of the day from.

Luxury SUV
Five or six people who all checked a bag, or three who each brought a sample case as well.

Sprinter Van
Fourteen seats and an aisle you can stand up in, which is what a whole team off one flight wants.

Airports on most corporate flight lists
Eight fields carry most of the corporate flying in this region, and a coordinator only has to name the one printed on the ticket. Each card opens that airport’s page.
Other fields with pages of their own are listed on the airports hub.
Every note above comes off that airport’s own published guidance and carries a check date. Changing fields halfway is an airport to airport transfer.
Whichever field is on the ticket, the booking behaves the same way.

Popular runs
The airport runs offices book most
Six pairings turn up again and again on corporate flight lists, each with a page giving the mileage, the calibrated drive time and the road.
A drive time here is a floor, not a promise. Chicago approaches run longer in the weekday peaks, and a departure is built with that in it.
A pairing that is not on this list books in exactly the same way. Any address to any field on the airport roster is quoted from the hours the run takes rather than from a zone map.
The return leg goes on the same reservation as the outbound one.
What riders say
What business travelers say
Executive Transportation was easy to work with and very reliable. Our group of 7 needed a ride from Chicago O’Hare to Springfield. The vehicle was clean and comfortable. Our driver was friendly and accommodating. I would definitely hire them again.
The scheduling process was seamless, and the timely pickup from Bloomington airport made my journey stress-free.
Executive Transportation was incredibly responsive and was able to secure us a bus quickly.
A weekly commuter flight, a visiting audit team and a board landing on five separate tickets are one booking with a different list attached to it: corporate transportation.
A whole conference arriving inside one window goes through corporate event transportation, and a single traveler with a day of meetings after the flight through executive chauffeur service.
Corporate airport questions
What travel desks ask before they book
Written for whoever types the booking. Terminal and door detail is dated on each airport page.
Can I book airport transfers for travelers who are not me?
Yes, and that is how most of this work arrives. Executive Transportation takes the flight list from the coordinator, quotes each leg, then sends one confirmation holding everybody to you and a separate one to each traveler holding only their own car and chauffeur.
Call (217) 523-5466 or send the flight list.
What happens when a flight lands late?
Give us the airline and the flight number at booking, then call dispatch once the time has moved. The desk is answered overnight, which is when most of those calls come in, and the chauffeur is redirected before anybody reaches baggage claim.
Dispatch answers at (217) 523-5466.
Where does the chauffeur wait at the airport?
Inside, at baggage claim, with the traveler’s name. The chauffeur takes the luggage and walks them out to the vehicle, so nobody waits outside. Every airport page here carries the terminal and door detail beside its check date.
See the airport roster.
Can a recurring airport run be set up once?
Yes. A pattern that repeats, a Tuesday departure or the same pair of monthly flights, goes on as a standing arrangement and is confirmed again each time it comes round. Editing one week leaves the rest untouched, and dropping one is a phone call.
Call (217) 523-5466.
How are corporate airport transfers priced?
Each leg is quoted by the hour for the whole vehicle, with the minimum stated up front, and the figure covers the vehicle rather than the seat. The hours the run takes and the vehicle class set it first, then the hour of the day. Every trip is quoted in writing and receipted.
Request a Quote with the flights.
How far ahead should the office book?
Send it as soon as the ticket is bought. Seventy-two hours of notice is what the desk prefers, and about a week where a coach or several vehicles sit on one sheet. A same-day call still gets an honest answer about what is unbooked.
Ring (217) 523-5466.
Which vehicle suits a team of six arriving together?
A luxury SUV where everybody checked one bag, and a Sprinter van where six people brought hard cases or the group is really eight. Fourteen seats and a stand-up aisle beat two separate cars, because the team leaves the building together.
Do you collect travelers arriving by private jet or charter?
Yes, and it is booked differently. An aircraft on the general aviation side parks at a fixed base operator, so no terminal and no airline road come into it. Name the operator and the tail number, the confirmation carries that building, and a call handles a change of hour.
