Transportation Coordination for Multi-Vehicle Days and Events
Several vehicles, one schedule, and one person at the door who owns it.
Transportation coordination is Executive Transportation planning and running the ground transportation for a day that needs more than one vehicle: a conference, a board visit, a wedding, a campus weekend. A reservation coordinator builds the schedule beforehand, and on a larger day a transportation coordinator stands at the venue and runs it.

What it is
What transportation coordination with Executive Transportation includes
Coordination is the work around the vehicles rather than the driving itself: deciding which vehicle takes which leg, when each one leaves, and who answers when the day moves off the plan. It is quoted with the vehicles, inside the same written figure.
Off site: the schedule is built before anyone boards
Send a reservation coordinator the itinerary, the headcount and the venues. What comes back is a schedule with a vehicle named for every leg and the departures staggered, so three coaches do not reach one door at the same minute. Change the agenda and the schedule is rebuilt rather than patched.
On site: a coordinator at the venue
On a larger day a transportation coordinator from Executive Transportation is at the hotel or the venue. They direct the vehicle flow at the door, keep each chauffeur on the mark the schedule gave them, and take the changes as they happen: a session running long, a late arrival, a group that decides to split for dinner.
One phone number for the planner
The planner calls the coordinator and nobody else, and the coordinator moves the vehicles. That is the whole arrangement, and it is why the person who wrote the agenda gets to sit in the room.
Coordination is quoted with the vehicles and nothing about it is sold on its own. The vehicles are described on the fleet pages, and a planner moving one group to one venue may only need corporate event transportation. Ask which fits: (217) 523-5466.
How a coordinated day goes
Off site first, then on site
The planning happens weeks out, at a desk. The running happens on the day, at the door.
Off site
Building the schedule
- Send the itinerary, the headcount and the venuesSession times, the hotel, the dinner address and who arrives when. Rough is fine at the start.
- A vehicle is named for every legA sedan for the speaker, a Sprinter for the committee, coaches for the room block. Each leg gets the size it needs.
- Departures are staggeredCoaches leave the hotel a few minutes apart, so the venue door takes one at a time and nobody waits behind a bus.
- One written quote comes backEvery vehicle quoted by the hour with its minimum stated, and the coordination in the same figure.
On site
Running the day
- The coordinator is at the venue before the first vehicleThey walk the entrance, the loading point and the turn, then put each chauffeur on a mark.
- Vehicles are called to the door in orderGuests board the vehicle in front of them. The next one pulls forward as the first pulls away.
- Changes are handled at the doorA session runs twenty minutes long, a flight lands late, a group splits for dinner. The coordinator reworks the order on the spot.
- The planner has one numberCall the coordinator, not five chauffeurs. The message is passed once, to the vehicle it belongs to.

Why be driven
How transportation coordination is quoted
Every vehicle on the schedule is quoted by the hour, with its minimum stated up front, and the coordination is written into the same figure. One number covers the whole day.
Hourly, with the minimum stated
Each vehicle is quoted for the hours it is held, and the smallest block it can be booked for is written in the quote rather than discovered later.
One figure for everything
The sedans, the Sprinter, the coaches and the coordinator are one written number. Nothing is priced per head and nothing is added at the door.
What moves the figure
The hours each vehicle is held, how many vehicles the schedule needs, and which classes they are. A longer day costs more because it takes more hours.
How to book it
Send the itinerary, the headcount and the venues, or call. A coordinator builds the schedule and the quote from those three things.
We prefer 72 hours’ notice, but call anytime. Short-notice trips depend on availability.

Which vehicles a coordinated day uses
Most coordinated days mix classes: something small for the people on the agenda and something large for everyone following it.

Cities where days are coordinated
Coordinated days run across Central Illinois, and the vehicles go wherever the schedule sends them, including out of state. Each card carries the code of the nearest field, because most of these days begin with an arrival.
Every city page lists its venues and pickup points, and the full roster is on the service area hub.
Springfield carries the Capitol complex, the BOS Center and the convention hotels downtown. Government travel covers the public side of a session week.
Send the venue and the schedule is built around it, whichever city it is in.

What riders say
Planners on a coordinated day
Executive Transportation saved the day after another bus company fell through last minute. Our driver Andrew arrived on time and got us safely to and from our event.
Executive Transportation was easy to work with and very reliable. I would definitely hire them again.
The scheduling process was seamless, and the timely pickup from Bloomington airport made my journey stress-free.
A planner who only needs the vehicles, with one dispatcher holding the sheet, books corporate event transportation.
Session days and agency delegations around the Capitol complex are coordinated through government travel.
Coordination questions
What planners ask about transportation coordination
What the coordinator does, what the quote covers, and what happens when the day moves.
What does a transportation coordinator do on site?
A transportation coordinator from Executive Transportation stands at the venue or the hotel and runs the vehicles against the schedule. They direct the flow at the door, keep each chauffeur on the mark, call vehicles forward in order, and take the changes as they happen, so the planner makes one call instead of five.
Call (217) 523-5466 or send the itinerary.
What is the difference between off-site and on-site coordination?
Off-site coordination is the planning: a reservation coordinator builds the schedule from the itinerary, the headcount and the venues, names a vehicle for each leg and staggers the departures. On-site coordination adds a person at the venue on the day to run that schedule and absorb whatever changes.
Ask which your day needs at (217) 523-5466.
How is transportation coordination priced?
Each vehicle on the schedule is quoted by the hour, with the minimum number of hours stated up front, and the coordination is written into the same figure. Executive Transportation sends one written number for the whole day. The hours, the number of vehicles and their classes are what move it.
Request a Quote with the schedule.
Do I need a coordinator for every event?
No. One vehicle to one venue is an ordinary booking, and a conference where one dispatcher holds the sheet is corporate event transportation. A coordinator earns the place once several vehicles meet at one door, or the day has enough moving parts that somebody has to be standing there.
Compare corporate event transportation.
What happens if a session runs long or a guest arrives late?
The planner tells the coordinator once, and the coordinator reworks the order at the door: the coaches hold, a sedan is sent for the late arrival, the dinner departure moves back. Nothing has to be canceled and rebooked, because the vehicles are held for the hours of the day.
Dispatch is at (217) 523-5466, any hour.
Can guests flying in be collected on the same schedule?
Yes. Arrivals are written onto the same sheet as the rest of the day. Give the coordinator the flight numbers, and each guest is met inside at baggage claim by a chauffeur who takes the luggage and walks them to the vehicle. Two airports in one afternoon is ordinary.
How far ahead should a coordinated day be booked?
Earlier than a single vehicle, because the schedule has to be built and the coaches have to be free on the date. A week or more is sensible where coaches are involved, and longer in a busy season. Executive Transportation prefers 72 hours at the least, and short notice depends on what is still unbooked.
Call (217) 523-5466 with the date.
Do you coordinate weddings as well as business events?
Yes. A wedding with guests in two hotels, a ceremony across town and a send-off at the end of the night is the same work as a conference: a schedule built beforehand, a vehicle for each leg, and a coordinator who holds the last car until the couple is ready to leave.
